Job Description:

We are seeking a dynamic and experienced Bookings and Operations Manager to oversee all bookings and operational aspects of Grindstone Theatre's venues. Reporting to the Artistic and Executive Director, the Bookings and Operations Manager will be responsible for managing venue rentals, coordinating event logistics, and ensuring the smooth operation of our theatres. This role will also oversee budgeting, venue sponsorship, reporting, booking contracts, marketing, and ticketing, as well as hiring and managing staff.

Responsibilities:

1. Booking Management:

  • Serve as the primary point of contact for all venue rental inquiries, negotiating rental agreements, preparing contracts, and overseeing the booking process from start to finish.
  • Maintain an up-to-date booking calendar for all Grindstone Theatre venues, ensuring efficient use of space and resources. Share the calendars with the necessary stakeholders.
  • Develop and maintain relationships with clients, event organizers, and artists to encourage repeat bookings and foster positive partnerships.

2.A. Comedy Theatre Venue Operations:

  • Oversee operational aspects of Comedy Theatre venue, including scheduling staff (TD/Head Technician and Box Office/FOH staff). Work with the General Manager who will coordinate Bistro staff and handle facility repairs and maintenance.
  • Develop and implement operational policies and procedures to streamline venue operations and improve efficiency.

2.B. Orange Hub Venues

  • Work with the AD to develop the Orange Hub Business Plan, Policies and Procedures.
  • Review the management contract with the City of Edmonton for the Orange Hub Theatres. Ensure compliance and report to the City of Edmonton as required for the Orange Hub Theatres management contract.
  • Conduct interviews with the AD and hire related staff for the Orange Hub Venues
  • Work closely with the Technical Director and Front of House Services Manager to coordinate technical requirements, staffing needs, and venue setup for events.

2.C. Fringe BYOV Venues

  • Produce and manage the Grindstone Fringe Festival BYOV’s
  • Use the same processes of soliciting applications from renters
  • Manage venue rental contracts with external venues (ex. Luther Center, Mile Zero Dance, etc)
  • Create a google form to collect applicant information once dates are announced for the festival
  • Ensure the application is marketed across Grindstone channels and Theatre networks
  • Update the website with Fringe BYOV deadlines and relevant venue information
  • Select shows for each venue and send offers, contracts and invoices. Have the shows approved by the AD.
  • Liaise with Fringe proper on the amount of venues running and shows accepted
  • Create show schedules for each venue. Ensure the schedule works with the Artists and submit the final show schedule to Fringe Proper, then upload all show times into Eventotron
  • Schedule Technicians and FOH managers for the duration of the festival
  • Instruct FOH managers to work with Volunteers for ticket scanning and line management
  • Work with the Festival TD to collect all technical needs from BYOV Producers
  • Work with the Festival TD to ensure all venues are properly outfitted with lighting/sound equipment, chairs, signage etc.
  • Work with the Festival TD to ensure all City of Edmonton checklist requirements needed for Road closure are completed, monitor the BYOV build budget and reconcile expenses with the TD, approve the set up/strike schedule proposed by the TD
  • Hire any additional FOH staff or Volunteer Coordinator to ensure FOH Volunteers are scheduled for each Fringe show to scan tickets
  • Manage venue sponsorship for the Festival
  • Work with graphic designers to create site signage (show schedule boards) and directional signage

3. Financial Management:

  • Develop and manage venue budgets, tracking revenue and expenses, and preparing financial reports for management and stakeholders.
  • Monitor ticket sales, rental revenue, and other sources of income, identifying opportunities to maximize revenue and minimize expenses.
  • Coordinate with the AD, General Manager and Bookkeeper to ensure compliance with financial policies and procedures.

4. Marketing:

  • Collaborate with marketing staff to develop marketing strategies and promotional campaigns to increase venue visibility, increase bookings and promote what is happening at each theatre venue from a venue perspective.
  • Maintain current information online regarding the venue throughout the Grindstone Website and associated channels
  • Coordinate with the City for any signage needs

5. Ticketing and Box Office:

  • Oversee ticketing operations, including coordinating ticketing information with renters, putting tickets up for sale through Showpass and the Grindstone website, managing ticket inventory, and coordinating with box office staff to ensure smooth ticket sales and distribution.
  • Prepare ticket settlement reports and provide to producers/renters
  • Coordinate the same ticketing process for internally produced Grindstone productions.

6. Staff Management:

  • Hire, train, and supervise the Technical Director and Front of House Services Manager and grow the staffing team as necessary providing leadership, guidance, and support to ensure the successful operation of the theatre venues.
  • Conduct performance evaluations, provide ongoing feedback, and address any performance issues or concerns in a timely and constructive manner.

Qualifications:

  • Bachelor's degree in Arts Administration, Business Management, or related field (preferred).
  • Minimum of 5 years of experience in venue management, event planning, or related field, with a demonstrated track record of success in managing theatre operations and bookings.
  • Strong leadership and management skills, with the ability to effectively lead and motivate a team of staff and volunteers.
  • Excellent communication and interpersonal skills, with the ability to build positive relationships with clients, colleagues, and stakeholders.
  • Proficiency in budgeting, financial management, and reporting, with the ability to analyze financial data and make data-driven decisions.
  • Knowledge of marketing principles and strategies, with experience developing and implementing marketing campaigns to promote events and drive ticket sales.
  • Familiarity with ticketing systems, event management software, and other tools used in theatre operations (preferred).
  • Commitment to the mission and values of Grindstone Theatre Society and a passion for supporting the arts and cultural community.

Position Details:

  • 40 hours/week
  • Job start date: July 29 2024
  • $43,000 - $52,000 / year depending on qualifications and experience

Supervised by the VP, Programming and mentored by the Associate Director, Creative and other senior members of the Programming team, the Special Events Planner is a summer contract position that is focused on supporting a multitude of duties relating to Programming activities within a busy and multi-faceted performing arts space.

You are passionate about the local arts scene – and live performance in particular! You believe in advocating and amplifying the voice of equity-seeking communities through the arts, and you enjoy engaging with different genres, styles, and artistic practices. You’re willing and able to assist with the load-in, set-up, and strike of an outdoor performance; and you know your way around assisting and organizing a live event. You’re also equally comfortable with administrative tasks and digital tools necessary for communicating and collaborating online.

You’re comfortable when working independently with online tasks, but you shine when working and connecting in person with others. You’re a strong communicator – written, over the phone, and in-person – and you’re comfortable taking direction and asking for clarification when you need it. You are excited about problem-solving, but you’re not afraid to ask for help and guidance as you learn to navigate the world of Programming within a creative arts administration environment.

The focus of this role is to support the Programming team in the coordination, delivery, and associated administration of our presenting, community connects, education, and visual and media arts activities and events. In this role, you will gain experience in putting shows on stages, and in unusual spaces, both inside and outside of Arts Commons. You will learn about scheduling for a multitude of activities, as well as learn about the administrative procedures for Programming in the areas of contracting, online filing systems such as Microsoft Teams and SharePoint environments, licensing, insurance, of various forms of financial tracking.

Working within a department that programs music, dance, theatre, education, and visual and media art, the Special Events Planner will be afforded the opportunity to learn about all the infrastructure that supports performance events occurring within our building and any associated outdoor events. Working within a dynamic and changing work environment, this role will have you learning about how to balance and juggle a multitude of identities and responsibilities within the programming realm.

Where you fit within our ecosystem:

The Special Events Planner is a member of the Arts Commons Programming team. Supervised by the VP, Programming and mentored by the Associate Director, Creative in combination with the Associate Director, Education and Senior Curator, Visual & Media Arts, this individual will attend weekly Programming meetings, have one-on-one in person meetings with all the above, but will be primarily guided by the Associate Director, Creative. In addition to working closely with all members of the Programming team, this role will interact with various interdepartmental teams, as well as with contracted event technicians, teaching facilitators, artists, and the public.

Must haves:

  • Comfortable working in collaborative environments
  • Knowledgeable and able to work confidently in Microsoft Office suite / Office 365
  • Is comfortable and enjoys using technology and online tools or programs
  • Strong communication skills – both written and verbal
  • Positive ‘can-do’ attitude and adaptability to working on dynamic tasks and with a multitude of different individuals
  • Sound problem solving, decision making and creative thinking abilities
  • Knowledgeable and interested in Calgary’s local arts-scene
  • Ability to lift at least 35 lbs. and navigate uneven terrain, as needed for any outdoor events (e.g. outdoor park spaces)
  • As this position is part of the Canada Summer Jobs program, it is a funding requirement that applicants must be between the ages of 15-30 years in order to be considered 

Nice to have:

  • Experience with live performance production (e.g. theatre, music, dance, etc.) and coordinating live events (e.g. stage management, advancing, etc.)
  • Experience working with artists
  • Experience within an administrative support role

Videographer/Editor Summer Job

The Edmonton Short Film Festival (ESFF) is looking for a young adult to join our festival team as the Videographer/Editor responsible for shooting and editing video from our various events as well as creating content for our social media platforms and web site. Ideally the youth will have an understanding and appreciation of film festivals and the importance of these festivals to both film artists and the community. The majority of their time will be creating and editing engaging videos for our social media platforms.

Our Videographer/Editor will also receive mentorship from and work collaboratively with the festival directors - both award winning filmmakers.

The ideal candidate is a student who is entering their final year of studies or is a recent graduate of a media, film or video production program.

This position is funded through Canada Summer Jobs.

Start date June 1

Responsibilities & Duties:

  • Create high quality videos and still photographs that convey our message, culture, feeling, and story to the community and potential audience participants
  • Create and deliver video content designed for websites, social media, advertising, etc.
  • Shoot event footage, and work with other videographers to shoot additional footage at events
  • Edit all footage using Final Cut, Premiere Pro or other professional-grade software
  • Be able and willing to travel to various film screening events and workshop locations
  • Embrace and support the ESFF mission and adhere to safe practices in the workplace
  • Must be organized, able to take direction, and be a team-player
  • Open to working evenings and weekends

Skills:

  • Collecting, organizing and creating video content
  • Develop workflows and processes to meet deadlines
  • Be independently creative
  • Have a passion for videography and editing
  • Be proficient in editing software
  • Have a good understanding of social media (Facebook, Twitter, Instagram, TicTok) and how to create content for each platform
  • Be versatile to be able to quickly adapt as required
  • Basic understanding of how to operate cameras, microphones, lighting and all related equipment in the production and editing of video
  • Strong attention to detail and time managements skills
  • Photography experience is a big plus
